We are looking for a motivated and detail-oriented Order Fulfillment & Administration Associate to enhance our operations by ensuring detailed administration support, efficient order processing, and continuous process improvements. This role offers a unique opportunity to contribute to a fast-growing company by optimizing fulfillment, strengthening supplier relationships, and delivering outstanding customer experience.
How We Measure Success
Order Processing Efficiency: Ensure all orders are processed and fulfilled on time, minimizing delays and disruptions.
Inventory Accuracy: Maintain up-to-date inventory reports on a weekly basis, including action plans to prevent stock discrepancies and fulfillment issues.
Problem Resolution: Resolve 100% of order-related issues (e.g., shipment delays, damaged goods) within 24 hours of identifying the problem.
Administration Management: Ensure all order confirmations, purchase orders (POs), and supplier contracts are reviewed thoroughly for accuracy, consistency, and compliance before approval.
Administration Management: Support the Customer Success & Order Fulfillment Manager in reviewing & ensuring all order-related documents, including order confirmations, purchase orders (POs), and supplier contracts, to ensure accuracy, consistency, and compliance before getting approval by the CEO.

Reports to: Customer Success & Order Fulfillment Manager

Team Vision 2025: Working as part of our customer-centric Customer Success & Fulfillment team, you will collaborate with Customer Success associates to create a seamless order experience for our customers by ensuring efficient fulfillment operations and smooth issue resolution.
Essential Roles and Responsibilities
Order Fulfillment
Process daily orders and ensure accurate shipments.
Work with CS and suppliers to resolve order-related issues.
Track shipments and address delays or discrepancies.
Supply Chain Administration
Support administrative tasks in supply chain operations.
Prepare and manage shipping documents, delivery records, and customs paperwork.
Coordinate with 3PL partners for smooth logistics.
Inventory Management Support
Assist in monitoring stock levels and preventing shortages or overstocking.
Maintain accurate inventory records and align stock with sales trends.
Data Analysis & Reporting
Analyze logistics and sales data to improve efficiency.
Generate reports on stock levels, shipment status, and logistics performance.
Provide insights for process improvements in fulfillment and demand planning.

Your Credentials
Education: Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Experience: Minimum 3 years of experience in logistics, supply chain management, administration or fulfillment operations, preferably in E-commerce, FMCG, or Retail.
Language Proficiency: Good command of English (both written and spoken).
Technical Skills:
Proficiency in Excel, Google Sheets, and ERP/Inventory Management Software.
Knowledge of logistics processes, transportation methods, and supplier coordination.
Experience working with 3PL partners and fulfillment centers is a plus.
Compensation and Benefits
Compensation: 11,000,000 - 17,500,000 VND/month + incentive based on performance (negotiate).

Working Conditions
Location: On-site, 18A Street No. 38, An Khanh Ward, Thu Duc, Ho Chi Minh, Vietnam.
Hours:
Monday - Friday: 8:30 AM - 6:00 PM.
Saturday (Culture Day): 6:30 AM - 12:00 PM. We spend morning on running and reviewing our week.
